Refund Policy
At HeyJom/HeloCity, we strive to ensure a seamless experience for both event organizers and participants. Below are the terms governing refunds for events registered through our platform:
1. Refunds Processed by HeyJom/HeloCity
HeyJom/HeloCity typically facilitates refunds on behalf of event organizers unless otherwise specified. In cases where refunds are managed directly by the organizer, participants will be directed to contact the organizer for further assistance.
2. Non-Refundable Admin Fee
All registrations are subject to a non-refundable Admin Fee of 8% of the total registration fee or RM4.00, whichever is higher. This fee is retained by HeyJom/HeloCity as part of the registration process.
3. Refund Scenarios
- Event Cancellation or Force Majeure:
In the event of event cancellation by the organizer or due to force majeure circumstances, participants will be refunded their registration fee (excluding the Admin Fee) within 30 days of receiving the cancellation notification. - Duplicate Registrations:
Participants who accidentally register twice for the same event on HeyJom/HeloCity may request a refund by contacting info@heyjom.com within 24 hours of the duplicate registration. - Participant Withdrawal:
If a participant withdraws from the event, any refund granted will be at the sole discretion of the event organizer. Refunds will not be issued in full; the applicable admin fee and any non-recoverable payment processing fees may be deducted in accordance with HeyJom/HeloCity's system. Participants are strongly encouraged to review the specific event terms and contact the organizer or HeyJom/HeloCity for clarification. - No-Show Policy:
No refunds or chargeback claims based solely on non-attendance will be entertained for participants who fail to attend an event.
4. Refund Timelines
Refunds are generally allowed up to 45 days before the event or as per the event organizer’s specific refund policy. Participants should refer to the terms stated in the event registration details.
5. Transfer of Registration
Participants may transfer their registration to another individual by submitting a request to info@heyjom.com no later than 45 days before the event, unless the event organizer specifies a different transfer policy. Transfer requests received after this period will not be entertained.
6. Refund Methods
Refunds will be processed using the original payment method and currency. If the original payment method does not allow refunds (e.g., certain digital wallets or prepaid cards), HeyJom/HeloCity will contact the participant to arrange an alternative refund method.
7. Chargeback Policy
Participants are encouraged to contact HeyJom/HeloCity or the respective event organizer directly to resolve any payment disputes or refund issues before initiating a chargeback with their bank or payment provider.
Initiating a chargeback for charges that are valid, authorized, or already subject to an ongoing refund review may result in:
- Suspension or restriction of the participant’s HeyJom/HeloCity account;
- Cancellation of the event registration or ticket;
- Temporary withholding of future refunds until the dispute is resolved.
If a chargeback is filed after a refund has already been processed, HeyJom/HeloCity reserves the right to recover the refunded amount and any associated chargeback or administrative fees.
HeyJom/HeloCity reserves the right to provide transaction records, registration details, attendance records, and communication history to the payment provider or financial institution as evidence in dispute investigations.
